GENERAL TERMS & CONDITIONS


Your ticket purchase constitutes your acceptance of the following terms:

1. Booking & Payment

• Confirmation: Your booking is confirmed once you have completed the sign-up form and received a confirmation email from us.

• Payment: Full payment or a 50% deposit is required at the time of booking up till and including 31st March 2027. For sign-ups after the 31st March 2027, full payment is required at the time of booking. All prices are in GBP and include VAT where applicable.

Balance payments are due by the 31st May 2027.

• Booking Errors: If you believe you’ve made a booking error, contact us immediately at info@hopestock.info. We will consider requests for changes or cancellations up until 31st May 2027, but approval is at our discretion.

2. Cancellations & Refunds

Cancelation by you:

i) Cancel any time up till the 30th April 2027 and we’ll give you a full refund, no quibbles.

ii) Cancel between 1st May and 31st May 2027, our final month of ticket sales, and we’ll try and resell your tickets if you request us to do so. If we’re successful, we’ll issue a full refund. If not, we’ll retain your deposit, or refund 50% of your total if you’ve paid in full. Or you may try to resell your tickets yourself. If you are successful, the organisers must be informed and transfer of tickets is subject to their approval.

iii) If you cancel after the 1st June 2027 there are no refunds and you will need to resell your tickets yourself, either to your friends or via the Hopestock facebook group. If you are successful, the organisers must be informed and transfer of tickets is subject to their approval.

Cancelation by Hopestock:

i) In the event of outright cancelation of the event, you will be refunded in full.

ii) We reserve the right to cancel or postpone in extreme circumstances (e.g., severe weather, performer / supplier unavailability, venue closure). In this scenario, we will offer you a full refund or the option to rebook for a future date.

iii) Hopestock Festival shall not be liable for any indirect costs associated with a postponed or cancelled event.

3. Changes to Sessions

• We may need to make reasonable changes to the line-up, activity sessions, timings, or location(s). We will notify you of any significant changes in advance.

• Minor changes (e.g., instructor / performer / supplier substitution) will not entitle you to a refund.

4. Safety & Risk Acknowledgement

• The site is set 200m down a track off a fairly quiet country road so we’re well away from cars. Whilst we are keeping vehicles on-site to an absolute minimum, there will unavoidably be some as follows:

   – Bands coming and going both days
   – Saturday AM: Saturday single-night campers arriving
   – Saturday AM: Toilet company on-site early to service portaloos throughout the site.

• The event is private and invite-only so all attendees will be friends or friends-of-friends. There may be the very occasional horse rider skirting the perimeter but it should only be attendees and suppliers on site, everyone wearing a wristband. If you spot anyone without a wristband please bring it to security or a team member’s attention.

• By attending you accept that prolonged exposure to loud music or noise can damage your hearing.

• Water hazards. There is a stream running along the northern fence line of the site. It’s very small and in summer won’t have much water in it. There’s a drop down to it of around a foot or so at the points it’s accessible. In the north-east corner of the site there is a very small bridge that crosses the stream and it runs a little deeper here.

There is also a pond in the glamping area. Much of the edge of the pond is reed lined and the water is not deep but it is possible to fall in and it would certainly be difficult to get out of because of silt and weed. It therefore poses a drowning risk.

• We will have open log fires burning in our fire pits both nights from around 8pm.

• Perhaps the greatest risk is potential for injury around the bouncy castles and the inflatable slide which we would stress are NOT fully supervised.

It is requested that parents supervise their kids when they’re using these facilities. It is also requested that parents clearly brief their children on usage guidelines ahead of them using these facilities, which are as follows:

 i) No shoes, nothing sharp and no food or drink on inflatables.
 ii) Strictly no climbing the walls or on top.
 iii) Maximum usage numbers and age limits, as displayed on signage next to each inflatable, must be observed.
 iv) Children must wait their turn to avoid inflatables getting too busy.
 v) When using these facilities, be mindful of other children and don’t start sliding down a slide until any kids at the bottom are out of the way.

If the rules are repeatedly ignored, inflatables may be deflated without warning for safety reasons.

• In signing up to attend you commit that any children in your group are your responsibility, both with respect of their safety and the safety of others.

First Aid: Trained people and basic first aid facilities are available on-site.

5. Liability & Indemnification

• Our Responsibility: We take all reasonable steps to ensure your safety, including trained staff, safety briefings and first aid provision, all covered by a risk assessment.

• Your Responsibility: You attend and participate at your own risk. We are not liable for any injury, loss, or damage except where caused by gross negligence.

• Indemnification: When completing the sign up form to book your places, you are asked to check a mandatory box which confirms that in attending the event, you agree to waive the organisers from any liability in the event of property damage, property theft, or for personal injury, disability or death.

6. Media Consent

• By attending, you consent to your likeness being used in Hopestock Festival promotional materials (e.g., website, social media).

• If you do not consent, please inform a team member on arrival.

7. Code of Conduct

• Respect: Treat all attendees, team members, suppliers, performers and instructors with respect. Discrimination on any basis and verbal abuse will not be tolerated.

• Disruptive Behaviour: Anyone deemed disruptive, abusive, or harmful may be removed from the event without refund. Decisions are final, but you may request a review by emailing info@hopestock.info.

8. Additional Terms

• Tickets are non-transferable without the permission of Hopestock Festival.

• Tickets are non-refundable on the basis of artist content, performance style, or programme changes.

• Hopestock Festival shall not be liable for any loss of personal belongings.

• Hopestock Festival reserve the right to remove you from the festival site for behaviour we deem unsuited to a family event.

• No animals will be permitted on the festival site other than dogs. Dogs must be kept under control and on a lead at all times, in all parts of the festival site, including the camping and parking fields.

• In bringing a vehicle onto the site you agree to follow team member instructions and observe our dead-slow, maximum 10mph speed limit. No cars in the camping field beyond the designated drop-off point at any time. No cars in the glamping field at any time.

• Please use the bins provided around the site. Anything too big to fit in a bin must be taken home. The skip is exclusively for the use of the event team.

• No personal alcohol or other drinks can be bought into the festival area. Only water is permitted.

• All-inclusive drinks wristbands must be visible when getting drinks from the bar tent.

• Alcohol is consumed at your own risk. Some activities may involve or encourage the consumption of alcohol but only ever with your consent. If you wish to withdraw consent and refuse alcohol, your wish will be unequivocally respected.

• No fires or BBQs allowed at all (camping stoves off the ground are fine).

• Attendees must stay within the 3 main fields (parking, camping, festival area) or the main arrival track. All adjacent fields are strictly out of bounds and must not be entered.

• Damages must be paid for.

• You must adhere to any instructions made on the festival site by any member of Hopestock Festival team or their representatives.

9. General Terms

• Changes to T&Cs: We may update these terms. Continued use of our services after changes constitutes acceptance.

• Force Majeure: We are not liable for failure to perform due to events beyond our control (e.g., natural disasters, strikes).

• Governing Law: These terms are governed by English law.
